45%

Lower revised quotation

Matched to room needs, with suitable existing equipment retained.

5 Rooms

Individually assessed

Room use cases, dimensions, and reusable assets informed the recommendations

Both quotation options were compared with the original global partner’s five-room proposal, with taxes and commercial terms aligned. The separate townhall quotation is excluded. The reductions are alternative comparisons and are not cumulative. Investment approval and implementation remain pending.

Business challenge

The company had moved from Zoom to Microsoft Teams, but its five meeting rooms remained tied to Zoom. Limited integration prevented employees from accessing the full Teams meeting experience.

A proposal from the company's global AV partner exceeded budget expectations and raised questions about whether the equipment reflected local needs. The business paused the project and asked Think Tech for an independent technical and commercial review.

Business requiements

  • Native Microsoft Teams Rooms

  • BYOD (bring your own device) flexibility for other meeting platforms

  • Compliance with corporate AV standards

  • Clear distinction between essential and optional investment

Assessment and recommendations

ThinkTech assessed each room’s use cases, stakeholder requirements, dimensions and existing equipment. These findings informed an independent review of the proposed equipment list against business needs and corporate standards.

Functionality matched to use

The original proposal included capabilities the business did not require. We separated essential features from optional enhancements.

Equipment matched to room size

Some equipment was oversized for smaller spaces. The revised design reflected each room's dimensions and intended use.

Existing investment preserved

Suitable displays, stands, and microphones could be reused, reducing the need to purchase replacement equipment.

Clear options for investment decisions

01. Like-for-like local sourcing

The original equipment list and professional services, priced through local supply channels.

02. Revised room solution

Necessary functionality, appropriately sized equipment, and reuse of suitable existing assets.

Both options covered the original five rooms, with taxes and commercial terms aligned against the global partner's quotation.

AN ADDITIONAL BUSINESS NEED IDENTIFIED

Bringing townhalls into the collaboration plan

The assessment identified a townhall space omitted from the original design. Stakeholders confirmed the need for professional audio and video capabilities for both in-person and remote participants. ThinkTech provided a separate quotation aligned with corporate standards.

Advisory delivery and validation

01

Understand requirements

Established room use cases, stakeholder requirements and physical dimensions, while identifying existing equipment suitable for reuse.

02

Review design and cost

Evaluated the proposed equipment against room needs and corporate standards, then obtained comparable local equipment and services pricing.

03

Present investment options

Presented the assessment and quotations so the business could weigh mandatory functionality, optional features, and cost.

Outcomes and business value

A clearer basis for budget approval

Decision-makers can distinguish the cost of local sourcing from the value of refining the design, with essential and optional capabilities explained in business terms.

A scope shaped around actual needs

The revised proposal supports the intended Teams and BYOD requirements while reflecting room conditions and reusable assets. The separate townhall proposal addresses a previously omitted need.
